How You’ll Contribute to the Team

The Office Administrator provides administrative and operational support for the Corvias campus portfolio. Providing high level administrative support to the Corvias executive team, overseeing the efficient and effective day-to-day operations of the office, and providing a positive experience to stakeholders is at the forefront of this role.

Primary Responsibilities

  • Provide high level administrative support to the executive team.
  • Support the administrative functions for the Corvias campus portfolio; review and make recommendations to streamline administrative processes.
  • Serve as primary administrative and operational liaison with external clients and internal functions including vendors, job applicants, Human Resources, Accounting and campus Housing Directors and staff.
  • Manage the department calendar; schedule and coordinate meetings, travel arrangements, training initiatives, and department events.
  • Support corporate HR by performing duties related to hiring, on-boarding, payroll submissions, paycheck distribution, and employee communications.
  • Generate regular and ad hoc reports; review for accuracy and make necessary adjustments following established procedures; ensure reports from outside the department are received in a timely manner.
  • Monitor inventory and order office supplies as needed; develop the supplies budget and track spending against budget.
  • Responsible for administrative tasks pertaining to vendor management including new vendor set up.
  • Assist with proposal and presentation preparation by coordinating meetings and document preparation including Power Point presentations.
  • Obtain detailed knowledge and understanding of University policies and procedures and direct the team to appropriate campus resources.
  • Provide additional support for summer conferences.
  • Some travel may be required.
  • Other duties as assigned.

Minimum Requirements

  • Associates degree with 3+ years’ experience providing administrative support in a professional environment required. Bachelor’s degree preferred.
  • Demonstrated ability to professionally interact and relate to individuals with diverse backgrounds, including the ability to maintain professionalism.
  • Proven ability to communicate effectively with all levels via phone, email, and in-person with a professional and friendly demeanor; ability to handle confidential information.
  • Ability to organize, prioritize and manage multiple priorities while maintaining accuracy and attention to detail.
  • Demonstrated success completing a variety of administrative tasks with minimal supervision; ability to work independently and as part of a team.
  • Proficiency with Microsoft Office suite.
